This Privacy Policy explains how HireOut (“HireOut”, “we”, “us”) collects, uses, and protects information when you join our waitlist, use our website, or otherwise interact with our services.
1) Who we are (Controller)
HireOut is currently an unincorporated business operated from the United Kingdom and intends to register as a UK business. We are the controller of personal data described in this Privacy Policy (meaning we decide how and why it’s processed).

2) What information we collect
A) Information you provide
- Contact details (e.g., email address; name/company if you choose to provide them).
- Product-interest details (e.g., rental category, business type, feature preferences).
- Communications (e.g., messages you send us if you contact support or enquire about the product).
B) Information related to emails we send (deliverability + preferences)
If you join our waitlist or otherwise request communications from us, we may collect and generate:
- Email delivery metadata, such as whether an email was delivered, bounced, or marked as spam.
- Preference and suppression information, such as unsubscribe status or “do not contact” records (so we can respect your choices and avoid sending unwanted emails).
We use Amazon Web Services (AWS) Simple Email Service (SES) to send emails. We configure SES in the AWS `eu-west-1` (Ireland) region. AWS Documentation.
C) Information collected automatically (website + security)
When you visit our website, we may collect:
- Technical and usage data (e.g., IP address, device/browser type, pages accessed, timestamps, referral source).
- Security/anti-abuse data (e.g., rate-limit events, suspicious activity signals, bot-detection indicators). We may store some of this in hashed or minimized form where appropriate.
No analytics: We currently do not run analytics tracking (such as Google Analytics) on the site.
3) Whether you must provide data
- If you join the waitlist, we need at least an email address to contact you. If you don’t provide it, we can’t add you to the waitlist.
- Any additional questions (like rental category) are optional and help us tailor communications.
4) How we use information
We use personal data to:
- Operate, maintain, and improve HireOut and our website.
- Communicate with you about waitlist status, early access, and product updates.
- Send emails you request and manage deliverability, including handling bounces, complaints, and unsubscribe requests.
- Prevent fraud, abuse, and unauthorized access; maintain the security and integrity of our website.
- Comply with legal obligations and enforce our terms.
5) Legal bases (UK/EU)
Where UK/EU data protection law applies, we process personal data under these legal bases:
- Consent: where you opt in to receive communications (and for any non-essential cookies/trackers if we add them in the future).
- Legitimate interests: to run and secure our website, prevent abuse, maintain service integrity, and manage email deliverability and suppression (for example, ensuring we don’t repeatedly email invalid addresses or people who unsubscribed).
- Legal obligation: to meet legal requirements or respond to lawful requests.

6) Cookies and similar technologies
We use essential cookies and similar technologies only to ensure the site functions securely and reliably (for example, to support basic security features and prevent abuse).
- We do not use analytics or advertising cookies at this time.

7) Sharing your information
We may share information with trusted third-party service providers who help us run HireOut, such as:

- Security/abuse-prevention providers (if used).
We only share what’s necessary for these providers to perform services for us, under appropriate contractual safeguards. We do not sell personal data.
8) International transfers
Our website is hosted in the EU, and we configure AWS SES in AWS `eu-west-1` (Ireland). AWS Documentation.
However, some service providers may process personal data outside the UK/EU in certain circumstances (for example, depending on how vendor operations and specialist support are delivered).
Where required, we use appropriate safeguards for international transfers (such as approved contractual clauses) and take steps to ensure protection of personal data.
9) Data retention
We keep personal data only as long as necessary for the purposes described above:
- Waitlist information: retained until you unsubscribe, request deletion, or it’s no longer needed for the waitlist (typically reviewed at least every 12 months).
- Email preferences / suppression records: retained as long as needed to respect your choices and to demonstrate compliance (for example, keeping a record that an address unsubscribed so we don’t email it again).
- Email delivery metadata (bounces/complaints): retained for a limited period as needed to maintain deliverability, prevent abuse, and run the waitlist communications responsibly.
- Support/enquiry messages: retained as long as needed to address your request and maintain reasonable business records.
- Security logs: typically retained for 30-180 days, unless a longer period is needed to investigate abuse, maintain service integrity, or comply with legal obligations.
10) Your rights
Depending on your location and applicable law, you may have rights to:
- Access your personal data
- Correct inaccurate data
- Delete your data
- Restrict or object to certain processing
- Receive a portable copy of your data (in some cases)
- Withdraw consent at any time (where processing is based on consent)

11) Security
We use reasonable technical and organizational measures designed to protect personal data (such as access controls and encryption in transit). No method of transmission or storage is completely secure.

HireOut is not intended for children, and we do not knowingly collect personal data from children.
